At Google Cloud Next this week, Google announced a broad set of updates to Workspace, its subscription-based productivity suite used by professionals and enterprises worldwide. The latest upgrades focus on artificial intelligence, introducing new automation across everyday office workflows, from writing emails to managing spreadsheets and organising documents. The overall direction is to reduce repetitive work and streamline daily office tasks.

Workspace Intelligence

Workspace Intelligence is a new AI system integrated across Google’s productivity tools. It is designed to act as a central assistant across different tasks, using data from Gmail, Calendar, Chat, and Drive, including Docs, Slides, and Sheets. Google says users will have full administrative control over what the system can access, with the ability to turn off specific data sources at any time. The company also notes that it increases with the amount of data and is of no use, as it can provide more personalised results or personalised cross-workflows.

Gemini-powered Google Sheets automation

Google is introducing several new capabilities in Sheets powered by Gemini. Users will be able to create spreadsheets simply by using prompts that include instructions for structure, formatting, and data retrieval. This allows Gemini to generate complete sheet layouts that previously required manual setup.

In addition, Gemini can assist with data entry by automatically filling spreadsheets based on context and prompt-based instructions. Google claims this feature can make spreadsheet population up to “9x faster” compared to manual input, as the system is designed to infer likely values and structure. Another addition allows users to convert unstructured information into organised tables, helping transform raw data into usable formats more efficiently.

AI writing features in Google Docs

Google Docs is also receiving enhanced AI writing capabilities powered by Gemini. Users can now generate, write, and refine documents using prompts. The system uses Workspace Intelligence, drawing from Gmail, Drive, Chat, and even web data to assist with writing and editing tasks. Users can instruct Gemini to help draft content, improve existing text, or adjust tone and style to match their own writing voice. The system can also be prompted to “match” a user’s writing style, allowing it to generate content that closely resembles their personal tone and formatting preferences.

Growing competition in AI-powered productivity tools

Google’s latest Workspace updates reflect the broader industry push to embed AI deeply into office software.
